This role is ideal for someone who enjoys a variety of tasks and wants to grow their skills in office administration, HR support, and basic corporate coordination.
About the Role
You will help keep the office running efficiently by supporting general administration, basic insurance and credit procedures, simple legal/immigration tasks, and HR coordination.
You will work with internal staff, expatriate employees, external vendors, and the head office overseas.
Key Responsibilities
- Coordinate office maintenance, repairs, and daily office services.
- Manage office supplies, vendor communication and process invoices.
- Assist with office layout changes and facility needs.
- Support simple reporting tasks requested by the head office.
- Help with basic insurance tasks such as collecting renewal data, checking information with brokers
- Support credit limit updates and maintain simple records.
- Assist with preparing documents for visa applications and communicate with visa agents.
- Maintain company records, filings, and compliance documents.
- Help with supplier surveys and compliance training arrangements.
- Process expenses for expatriates and senior staff.
- Update organisation charts and assist with website or presentation materials.
- Support HR with training coordination and administrative tasks.
About You
- Experience in office administration or general corporate support.
- Good attention to detail and strong timemanagement skills.
- Organised, proactive and able to handle multiple tasks.
- Good communication skills and comfortable working with different stakeholders.
- Fluent in Japanese and English (spoken and written).
- Good computer skills (Microsoft Office; SAP is a plus).
- Able to handle confidential information professionally.
