About the Role
Australian Catholic University (ACU) is seeking a reliable and organised Archive Project Officer to assist with a short-term records management project involving historical student files.
This role will involve reviewing archived records and determining which files need to be retained or securely destroyed in line with established guidelines. Files requiring retention will be prepared for secure scanning and digital archiving.
Following the scanning stage, files will be processed through an external AI system to allocate documents into digital records. Any files the AI cannot categorise will be returned to ACU for manual review and allocation as part of the second phase of the project.
This is a hands-on administrative role that also involves physical handling of archive boxes.
Key Responsibilities
- Sort and review archived student files according to retention and destruction guidelines
- Pack archive files into boxes for secure scanning or shredding
- Maintain accurate records of files processed using Excel and Word
- Work independently to make decisions on document retention after training
- Ask questions where needed and follow strict documentation procedures
- Assist with the second stage of the project by manually allocating files not categorised by AI
- Ensure confidentiality and compliance when handling sensitive student records
Project Structure
Stage 1 - Archive Sorting (3-4 weeks)
Review and categorise physical files into scanning or destruction.
Stage 2 - Digital Allocation (1-2 weeks)
After scanning and AI processing (handled externally), manually allocate remaining documents that the AI could not assign.
About You
We are looking for someone who is organised, reliable and comfortable working independently on a structured project.
You will ideally have:
- Strong administrative and organisational skills
- Good computer skills (Microsoft Excel and Word)
- High attention to detail when handling records
- The ability to follow strict guidelines and processes
- A proactive approach and confidence making decisions after training
This role can suit candidates with experience in administration, archives, libraries, records management or project-based admin work.
Physical Requirements
A significant part of the role involves manual handling of archive boxes.
Candidates must be able to lift and move boxes weighing approximately 5-10kg independently, as there will be no additional support available for lifting.
Working Arrangements
- Casual project role

- Maximum 7 hours per day
- Work must occur between 9:00am - 6:00pm
- On-site only due to the sensitive nature of records
