Japanese Speaking Admin Support Coordinator

Our client is seeking a Japanese-speaking Admin Support Coordinator to join their team on a 15-month fixed term contract. In this role, you will work closely with the Admin Support Team, internal and external stakeholders, and vendors. You will be responsible for supporting the coordination and administration of our client's business activities across Australia.
This role is ideal for someone who enjoys administrative work, cross-cultural communication, and providing support to both internal and external teams.
Key Responsibilities:
- Perform core administration and coordination tasks.
- Maintain and update records, databases, and documentation.
- Coordinate schedules, meetings, and team communications.
- Support procurement, vendor coordination, and logistics activities.
- Prepare meeting agendas, take minutes, and track action items.
- Handle ad hoc administrative tasks as required.
Requirements:
- Proven experience in administration and coordination.
- Business-level proficiency in Japanese and English (verbal and written).
- Strong organisational skills with excellent attention to detail.
- Ability to manage multiple priorities and meet deadlines.
- Positive, proactive attitude with a willingness to learn quickly.
- Experience or exposure to procurement or vendor coordination is an advantage.
- Proficient in Microsoft Office.
- SAP experience is a bonus (training will be provided if required).
- Full working rights in Australia (citizen, permanent resident, or Partner visa).
Employment Details:
Employment Type: Full-time, Fixed Term Contract
Duration: 15 months
Hiring Period: By February (early applications encouraged)
Work Hours: Monday to Friday, 9:00 am - 5:00 pm
Work Arrangement: First month onsite for training; flexible arrangements may be applied for afterward, based on business operational needs
Location: Approx 25 km east of Melbourne CBD
