About the Role:
The APS5 Project Officer operates under limited supervision to deliver moderately complex to complex project, reporting and operational activities within a performance and quality-focused branch. The role supports agency-wide objectives by contributing to performance reporting, quality assurance, workload management and continuous improvement initiatives.
The position requires sound judgement, strong analytical capability and the ability to work with data, systems and stakeholders to produce accurate reporting, insights and written outputs that inform decision-making. The APS5 Project Officer works collaboratively within a team environment while managing their own workflow, priorities and deliverables.
Key Responsibilities:
- Assist with project management and coordination activities, including monitoring and reviewing project and program activities against agreed plans.
- Draft high-quality written materials including business cases, project plans, executive briefs, reports and corporate documentation.
- Support project quality management processes to ensure deliverables are fit-for-purpose and meet business needs.
- Conduct research and analysis to support reporting, insights and continuous improvement initiatives.
- Extract, analyse and present data using reporting tools and systems, including dashboards, report builders, SAS and Microsoft Excel.
- Support the development of performance reporting, projections and business insights to inform operational and strategic decision-making.
- Undertake quality assurance activities, including report checks, trend analysis and outcomes analysis.
- Coordinate branch and team reporting to monitor progress, performance and improvement outcomes.
- Support workflow and routing activities across business areas, including managing system-based workflows.
- Assist with the preparation of communication materials and presentation of insights and recommendations to stakeholders.
- Provide timely, accurate and professional responses to stakeholder enquiries and feedback.
- Collaborate effectively with team members and stakeholders to achieve project, program and business outcomes.
- Other duties as required.
Mandatory Requirements:
- Demonstrated experience working in project coordination, reporting, performance, quality or operational support roles
- Strong analytical capability, including the ability to interpret data and translate insights into clear, actionable information
- Advanced Microsoft Excel skills, including pivot tables, advanced formulas, charting and data analysis
- Demonstrated ability to work effectively with limited supervision, managing competing priorities in a dynamic environment
- Proven judgement and decision-making skills, with the ability to apply evidence-based approaches to problem solving
- Strong written and verbal communication skills, including drafting executive-level documentation and reports
- Demonstrated ability to manage stakeholder relationships and respond professionally to enquiries and feedback
Highly Regarded:
- Experience working within a federal or state government environment
- Experience using reporting or analytics platforms such as Salesforce analytics, SAS or similar tools
- Experience using JIRA or other project management tools
- Experience managing system-based workflows, routing rules or permissions
- Understanding of forecasting, statistical modelling or performance reporting frameworks
