About the Role:
The Facilities Officer will deliver multi-skilled general duties to support campus operations, with a strong focus on customer service excellence, administration, and facilities coordination. This is a highly visible, on-site role requiring flexibility, initiative, and the ability to work collaboratively with internal teams, contractors, and service providers.
The successful candidate will play a key role in ensuring facilities services are delivered efficiently and professionally, supporting day-to-day campus operations, events, space management, and service request coordination.
This role will suit an organised and adaptable professional with experience in facilities administration, high-volume customer service, and the use of systems to manage service delivery and reporting.
Key Responsibilities:
- Deliver professional and responsive customer service to staff, students, contractors, and stakeholders.
- Monitor, follow up, and communicate progress on facilities works and service requests to ensure service standards are met.
- Process financial and administrative tasks in line with organisational procedures, including reports, registers, and documentation.
- Maintain and update facilities-related databases, registers, and spreadsheets (e.g. asset management, car parking, signage, space data).
- Support venue and space coordination, including bookings, room setup, liaison before events, and close-out activities.
- Assist with space and asset audits, including verification of occupancy data and photographic records.
- Support logistics and movement of materials, equipment, and packages across the campus.
- Review service provider reports and KPI data, contributing to ongoing service improvement conversations.
- Assist with campus events by ensuring facilities, amenities, and presentation standards are maintained.
- Work collaboratively within the facilities team to ensure daily tasks are completed within required timeframes.
- Other duties as required.
Mandatory Requirements:
- Demonstrated experience in facilities administration, business administration, or a similar operational support role.
- Experience using computer-based systems within a facilities, property, or service delivery environment (e.g. ticketing systems, financial or asset systems).
- Strong customer service skills, including experience in service recovery and managing challenging situations professionally.
- High attention to detail with proven ability to maintain accurate records, databases, and financial documentation.
- Strong communication skills and the ability to work effectively with a diverse range of stakeholders.
- Ability to work full-time on site, Monday to Friday, within standard business hours.
- Full Australian working rights.
Highly Regarded:
- Experience working within an education, government, or large corporate environment.
- Exposure to facilities management systems such as ServiceNow or similar ticketing platforms.
- Experience with financial or accounting systems such as TechnologyOne.
