Operations Officer - APS 4

Role Purpose
The APS4 Operations Officer is a team membership position that will work within defined parameters relating to their area of responsibility. The role will be required to apply well-established policy, principles, practices and procedures to achieve outcomes that supports and contributes to objectives.
The role will be required to provide operational and administrative support that is informed and directed by sound knowledge in service delivery areas and may undertake some research and analysis activities.
The APS4 Operations Officer will have a considerable level of contact with internal and external stakeholders and will be required to communicate with and provide advice on a range of matters to resolve moderately complex enquiries.
Duties and responsibilities include:
- Coordinate and manage end-to-end travel arrangements for the QLD Division, including remote travel
- Make informed decisions within policy frameworks while exercising sound judgment and working under limited supervision
- Anticipate and respond to operational challenges in a proactive and solution-focused manner
- Contribute to process improvements by identifying opportunities for greater efficiency and supporting continuous improvement initiatives
- Build and maintain effective working relationships with internal and external stakeholders to support operational outcomes
- Supporting Service Delivery staff to deliver exemplary customer service to achieve the best outcomes for participants.
- Monitoring and actioning correspondence (email), and assigning and actioning internal work items within service standards.
- Maintaining organisational charts, distribution lists, templates and records management as required.
- Investigating, researching, analysing, providing administrative and project support for the Leadership Team and State Manager's office.
Skills required include:
- Understanding of operational processes and the ability to contribute to the development and implementation of policies and procedures.
- Ability to analyse data and reports to identify trends, issues, and opportunities for improvement in service delivery.
- Strong verbal and written communication abilities to convey information clearly and effectively to a variety of stakeholders.
- A commitment to providing high quality support to stakeholders, ensuring their needs are met.
- Capability to identify challenges and develop effective solutions to improve operational efficiency and participant outcomes.
- Ability to work collaboratively within a team environment, contributing to team goals and supporting colleagues.
- Ensuring accuracy in documentation, reporting, and compliance with relevant policies and procedures.
- Flexibility to respond to changing operational demands and participant needs.
- Skills in building and maintaining relationships with internal and external stakeholders.
Working conditions include:
- Working in an open office environment (exposure to general workplace chatter)
- Working from home on occasion
- Working in a hot desk environment
- Significant periods of sitting at a counter or desk
- Operating a telephone
- Computer/screen-based work
- Ability to use computer/software applications including Microsoft Office
