APS4 Level IAC Executive Assistant

Daily Rate: $43.82 + super | Location: Adelaide | Start: ASAP - til 30 June 2026
You will provide executive and administrative support to the Principal Member and work closely with the secretariat to enable effective operations of the Independent Advisory Council.
Key Responsibilities
- Manage diary and email workflows, ensuring priorities, commitments, and timelines are met.
- Prepare correspondence, briefing material, and confidential documentation.
- Attend selected meetings to record notes and maintain accurate records.
- Schedule meetings and stakeholder engagements, ensuring documentation meets accessibility and organisational standards.
- Complete administrative tasks of moderate complexity, including SharePoint management, communications drafts, ICT/HR/Property requests, and invoice processing.
- Coordinate meetings, travel, itineraries, venues, accessibility requirements, catering, and on‑the‑day logistics.
- Conduct research, gather information, and locate policies or procedures as needed.
- Support the governance and operations of the advisory council.
- Build and maintain strong relationships with internal and external stakeholders.
- Adapt to a changing environment while ensuring culturally safe and accessible practices in all tasks.
About You
- Experience in executive support, administration, or secretariat functions.
- Strong organisational skills with the ability to manage competing priorities in a fast‑paced environment.
- Ability to work independently while contributing effectively to a collaborative team.
- Comfortable engaging with a wide range of stakeholders, including senior leaders and diverse community groups.
- Strong written communication skills, including the ability to write in plain English.
- Understanding of accessibility requirements and culturally safe approaches.
- Ability to work with sensitivity and respect in disability‑inclusive contexts.
- Proficiency with diary/email management, document preparation, record‑keeping, and digital office systems (e.g., SharePoint).
- Demonstrated ability to maintain confidentiality and exercise sound judgement.
