 Salary: $54.70 per hour (including casual loading)
About the Role
We are seeking a motivated Facilities Coordinator to join our Supply Chain team on a short-term contract. This role focuses on coordinating facilities management activities across a portfolio of hard and soft services contracts, ensuring excellent service delivery from our service providers.
You will manage operational aspects of facilities services, including contractor performance, compliance, budget oversight, and stakeholder engagement, while contributing to a collaborative and customer-focused work environment.
Key Responsibilities
Team & Stakeholder Engagement
- Build and maintain strong relationships with internal teams, stakeholders, and service providers. 
- Participate in projects and initiatives to improve facilities management services. 
- Act as an escalation point for operational issues and ensure timely resolution. 
- Monitor service requests and provide support for urgent, high-priority, or complex requests. 
Service Delivery Management
- Monitor performance of service providers and address service issues as required. 
- Conduct site visits to understand operational requirements and opportunities. 
- Ensure delivery of planned maintenance and reactive maintenance works. 
- Review supplier records and track KPIs to maintain contract compliance. 
Safety & Compliance
- Ensure all works comply with safety procedures, legislation, and organisational standards. 
- Conduct audits of facilities against compliance standards, including DDA, WHS, bushfire requirements, National Construction Code, and asbestos management. 
- Implement compliance improvements in line with planned maintenance schedules. 
Budget & Procurement
- Review invoices and ensure correct cost allocation. 
- Support development of business cases and budget planning for facility upgrades. 
- Conduct low-risk procurement activities within delegation limits. 
- Create and monitor purchase orders in collaboration with team members. 
Customer Service & Continuous Improvement
- Deliver exceptional customer service to internal stakeholders. 
- Communicate proactively regarding planned maintenance, disruptions, and improvements. 
- Drive continuous improvement in facilities management services to exceed stakeholder expectations. 
Skills, Knowledge & Experience
Essential:
- Relevant tertiary qualification (Business, Property, Construction, Procurement, Project Management) or demonstrated experience in facilities/asset management. 
- Strong written, verbal, and stakeholder management skills in a large organisation. 
- Current driver's licence required.
Desirable:
- Certificates or qualifications in electrical, fire, mechanical, or related trades. 
- Knowledge of Australian standards, including the National Construction Code. 
- Experience with Safework SA Codes of Practice. 
- Familiarity with asset management or CRM systems. 
Key Stakeholders
- Internal: Facilities Management, Maintenance, Asset Management, Capital Delivery, Property, Operations, Health & Safety, and Supply Chain teams. 
- External: Facilities management contractors, government departments, and regulators.
