A reputable Japanese company is seeking a Japanese-speaking Accounts & Administration Clerk to support its Australian operations. Reporting directly to the Managing Director, this role is responsible for a broad range of accounting, administration, logistics, and business support activities.
As a key member of the local team, you will play an important role in ensuring the smooth day-to-day operation of the business while acting as a liaison between the Australian office, Japan Head Office, external service providers. This is a diverse and hands-on position that combines accounting and administrative responsibilities with logistics coordination and operational support. While experience in logistics, import/export, or supply chain operations would be advantageous, it is not essential. Candidates with a solid background in accounts and administration with Japanese language skill are encouraged to apply, as full training will be provided for the logistics-related aspects of the role. Responsibilities
Accounting Operations
- Prepare and maintain accounting documentation and records.
- Manage day-to-day accounting activities and banking transactions.
- Assist with financial reporting, including budget tracking, expense management, cash flow monitoring, and accounts receivable.
- Process payments, supplier invoices, and headquarters-related commissions and expenses.
- Prepare accounting reports for headquarters on a monthly, quarterly, annual, and ad hoc basis.
- Coordinate and collaborate with headquarters and external accounting firms to ensure compliance and reporting accuracy.
- Support sales administration activities, including the preparation of quotations, invoices, and related documentation.
Administration and Business Support
- Provide administrative support for office and warehouse operations, including documentation and stakeholder coordination.
- Support product and sample management activities.
- Assist the sales team with customer information management, sales reporting, promotional activities, event coordination, presentation setup, and rental kitchen arrangements.
- Support import operations through documentation management and communication with headquarters and local logistics providers (3PLs).
- Coordinate delivery arrangements with third-party logistics providers and customers.
- Assist with IT-related matters, including liaising with external IT vendors and shared office providers.
- Support headquarters requirements, including document management, audit preparation, and compliance-related activities.
- Contribute to the development and implementation of new processes, systems, policies, and reporting frameworks.
Your Profile
- Fluent in both Japanese and English, with excellent written and verbal communication skills.
- Previous experience in accounting, finance administration, office administration, or a similar role.
- Understanding of basic accounting principles and financial processes.
- Strong attention to detail with excellent analytical and problem-solving abilities.
- Proficient in Microsoft Office applications, particularly Excel.
- Experience or knowledge of import/export operations, logistics, or supply chain management is advantageous but not essential, as training can be provided.
- Australian Citizen, Permanent Resident, or holder of a valid Partner Visa with full working rights in Australia.
- Ability to work independently while effectively managing multiple priorities in a fast-paced environment.
