Japanese-Speaking Part-time Administrator

This position is responsible for delivering effective administration and operational support, maintaining accurate processing and organized records, and assisting with compliance and reporting obligations to uphold organizational standards.
Key Responsibilities
Administrative Support for Subsidiary Operations
- Assist in maintaining service agreements, including tracking and preparing renewals and amendments.
- Support the administration of processes for new share issues, dividend distributions, and funding call contributions.
- Prepare and distribute circular resolutions for approval.
- Coordinate and prepare ASIC reporting and ensure all documentation is accurate and submitted on time.
- Maintain organized documentation systems for subsidiary activities.
Accounts Payable and Receipts Management - Process invoices and receipts with attention to accuracy and timeliness.
- Assist in reconciling accounts payable and receivables.
- Communicate with Accounting teams to address any transaction discrepancies.
Market Research and Data Support - Gather and organize market data for the real estate and power industries.
- Support basic analysis of transactions and opportunities.
- Assist in preparing summary reports and presentations.
Expense Management - Assist with arranging and settling travel, entertainment, and general expenditures.
- Monitor departmental expense records and ensure adherence to policies.
General Administrative and Secretarial Duties - Assist in department reporting requirements, month end reporting, and budget.
- Schedule meetings, prepare agendas and reports as required.
- Handle routine correspondence and communication for the department.
- Maintain an organized filing system for easy access to records and documents.

Qualifications/Experience- Proficiency in Japanese (spoken and written) is required for this role to effectively communicate with Japanese stakeholders and counterparts.
- Minimum of 2 years' experience in an administrative or operational support role.
- Proficiency in Microsoft Office Suite
- Australian Citizen, Permanent Resident, Partner visa, no limitation of visa
- Prior experience in market research is desirable but not essential.
- Accounting knowledge is desirable but not essential.
