Board and Legal Support Officer

We are seeking a dedicated and detail-oriented Board and Legal Support Officer to provide high-level administrative and confidential support to our Board Secretariat, Legal, and Insurance teams. In this dynamic role, you will play a key part in ensuring smooth operations and contributing to strategic outcomes within the organization.
Key Responsibilities:
Board Support:
- Coordinate onboarding and induction processes for new Board members.
- Manage travel plans, bookings, and finance-related processes for the Board.
- Organize meetings, workshops, and events, including logistics and facilities setup.
- Assist in the preparation and distribution of meeting agendas, papers, and minutes.
Legal Support:
- Provide professional and confidential administrative assistance to the Legal team.
- Manage legal records and documentation, ensuring compliance with corporate policies.
- Oversee invoicing and payment processes for legal services.
- Support statutory and contractual deadlines by arranging formal Service of Documents.
Systems & Process Management:
- Administer the Diligent Boards system, including user management and meeting documentation.
- Maintain and improve internal platforms for the Secretariat and Legal teams.
- Identify opportunities to streamline and automate processes for greater efficiency.
About You:
- Proven experience in an administrative role, ideally within a legal environment.
- Exceptional communication skills, both written and verbal.
- Strong organizational skills with the ability to handle shifting priorities and deadlines.
- High level of integrity and discretion in handling confidential information.
- Proficiency in office software and an aptitude for process improvement.
